FOR CORPORATE GROUP ACCOMMODATION, EVENTS, CONFERENCE & FUNCTIONS

1. Please note

  1. The party you are contracting with is Victoria Docks Hotel Company Limited (“the Company”), which operates the Crowne Plaza London – Docklands
  2. The hotel manager has the authority to amend these terms and conditions in writing at his discretion

2. Number booked

  1. Provisional numbers will be asked for at the time of booking and the hotel reserves the right to stipulate a minimum number to be charged for the event. Final numbers must be confirmed 2 working days prior to the event (not including the day of the event) and, subject to any minimum number, this will be the number you will be charged for.
  2. The hotel reserves the right to change a designated room after appropriate consultation if the agreed minimum numbers are not met. This does not affect any minimum charge.

3. Payment

  1. For events, a deposit of 50% of the booking fee must be paid upon confirmation.
  2. The outstanding balance of the account is payable 7 days prior to arrival unless the hotel has agreed alternative arrangements. Credit will be given for the deposit paid.
  3. Completed credit application forms are required at least 21 days prior to the event for all customers requesting credit facilities. The hotel is under no obligation to grant credit. If credit is granted then settlement must be made in full on receipt of the appropriate invoice. Credit facilities are not offered to private individuals.
  4. If payment is to be made by either credit or charge card this must be known to the hotel at the time of the booking. Only recognised cards will be accepted. The card must be produced by the signatory prior to the event.
  5. Events costing less than £250 must be paid by credit/charge card or cash prior to the event. Credit facilities will not be offered.
  6. Weddings and Private Functions must be fully prepaid prior to the event.

4. Cancellation by the customer

  • Reduction or cancellation of the group or conference space up to 90 days prior to the event is not subject to any cancellation fee
  • Up to 90 days prior to arrival – 50% of the rooms may be cancelled without penalty. Space cancelled in excess of this will be subject to a charge equal to one night's accommodation per room booked. Should the entire group cancel, 50% of the night’s accommodation will be levied as a cancellation fee. If the contracted conference space is cancelled, a cancellation fee 50% of the total estimated revenue will apply.
  • Up to 60 days prior to arrival – 40% of the remaining block may be cancelled without penalty. Any space cancelled in excess of this will be subject to a charge equal to one night’s accommodation per room booked. Should the entire group cancel, 75% of the first night’s accommodation will be levied as a cancellation fee. If the contracted conference space is cancelled, a cancellation fee of 75% of the total estimated revenue will apply.
  • Up to 30 days prior to arrival – 20% of the remaining rooms may be cancelled without penalty. Cancellation in excess of this will be subject to a charge equal to one night’s accommodation per room. Should the entire group cancel, 90% of the total accommodation charges for the intended duration of the group will be levied as a cancellation fee. If the contracted space is cancelled, a cancellation fee of 90% of the total estimated revenue will apply.
  • Up to 14 days prior to arrival – Any rooms cancelled are subject to a cancellation fee equal to the total accommodation cost for the intended duration of the rooms cancelled. If the contracted conference space is cancelled, a cancellation fee of 100% of the total estimated revenue will apply.
  • No Show Policy – On the day of arrival, the hotel reserve the right to impose and no-show charges if the actual usage of the rooms are less than the number of rooms reserved. The hotel will not accept any Lastminute reduction of rooms.

5. Cancellation by the Hotel

The hotel may cancel the booking at any time and without any obligation to you in any of the following circumstances:
  1. If the hotel or any part of it is closed due to fire, alteration or re-decoration, by order of any public authority, or through any reason beyond the hotel’s control.
  2. If you become bankrupt or insolvent or enter into liquidation or have an administrative receiver or receiver appointed over all or a substantial part of your assets.
  3. If you are more than 30 days in arrears with payment to the hotel or the Company for previously supplied services.
  4. If the event may, in the hotel Manager’s reasonable opinion, prejudice the reputation of the hotel.

6. Liabilities

  1. Please safeguard your property. The hotel will not accept any liability for loss or damage to property or death or illness of or injury to persons unless caused by the Company’s negligence.
  2. Unless the Company is liable as referred to in (a), you will indemnify the Company from and against any and all liability for loss of or damage to property or death or illness of or injury to persons and against any and all claims, costs, demands, proceedings and damages arising there from as a result of the event.
  3. You are advised to consider your insurance cover in respect of (b) above.

7. General

  • Goods and services may not be bought or sold on the premises without the hotel Manager’s prior written consent, in which case additional terms and conditions apply which you must sign. No tickets whatsoever may be sold at the event.
  • The hotel name, logo and telephone number and the name ‘InterContinental Hotels Group’ or ‘Crowne Plaza’ may not be used in any advertising or other publicity without the prior written consent of the Manager.
  • No signs, displays, posters or other material may be fixed to the ways of the hotel rooms without the prior authorisation of the hotel Manager.
  • If the contract includes you employing the services or an outside contractor than you will indemnify the hotel against any loss of or damage to property or death or illness of or injury to any persons and against all claims, costs, demands, proceedings and damages arising there from. Any outside contractor employed by you must report to the duty Manager at the hotel and sign the hotel’s standard Contractors Indemnity Form. The hotel reserves the right to refuse access to any contractor in appropriate circumstances.
